PorchQ Privacy Policy

Your HOA's trust matters. This policy explains what information we collect, how we use it, and the steps we take to protect board and resident data. Contact us anytime at support@porchq.com.

Overview

This Privacy Policy describes how PorchQ Technologies LLC (“PorchQ”, “we”, “us”) collects, uses, and safeguards information when you access our HOA management workspace, websites, applications, and related services (collectively, the “Service”).

If you do not agree with this policy, please do not use the Service. We may update this policy periodically and will post the latest version here.

Information We Collect

We collect information that you provide directly, information generated while using the Service, and limited information from third parties.

  • Account and profile details such as name, email address, role, and property affiliation.
  • HOA operational data that administrators import or generate, including ledger transactions, assessments, maintenance requests, documents, and meeting notes.
  • Technical data such as log files, device/browser characteristics, IP address and the approximate area it indicates (country, state or province, and an area of about 100 km; never your street address or exact location), and usage analytics.
  • Payment information processed on our behalf by PCI-compliant payment processors. We do not store full payment card numbers.

How We Use Information

We process information to deliver the Service, support your HOA, and improve our platform.

  • Provision and secure the HOA workspace, including authentication, permissions, and activity logs.
  • Facilitate assessments, maintenance workflows, document sharing, and communications.
  • Respond to support requests, provide training, and send service-related notices.
  • Send account holders occasional news and offers about PorchQ. You can unsubscribe from these at any time; service messages continue.
  • Analyze usage trends to improve reliability, performance, and user experience.
  • Comply with legal obligations and enforce our Terms of Service.

Website Visit Statistics

We count visits to our public website with our own first-party tool, without cookies and without storing anything on your device.

  • To tell visits apart within one day, we combine your IP address, browser and our site name with a secret that changes every day and is deleted after 48 hours. Your IP address is used at that moment only and is never stored.
  • We keep the pages of your visit, what you did with our sign-up form (closed it, or started to sign up), where the visit came from (the referring site, campaign tags and the kind of ad you clicked), your approximate area (country, state or province, and an area of about 100 km; never your street address or exact location), your device and browser type, your operating system (such as iOS or Windows), and the language you viewed our site in (English or French).
  • If your browser sends Do Not Track or Global Privacy Control, we count nothing.
  • Visit records are deleted after 90 days. If you create an account during a visit, we note that the visit led to a sign-up, and we keep where that visit came from (the referring site, campaign tags and the kind of ad you clicked) with your account. We do not keep the pages of that visit with your account.

How We Share Information

We do not sell personal information. We share data only with trusted parties as necessary to provide the Service.

  • Service providers that assist with infrastructure, analytics, customer support, email delivery, or payment processing.
  • Other users within your HOA workspace according to permissions set by administrators.
  • Legal authorities when required by law, subpoena, or to protect rights, safety, or property.

Data Retention & Security

We retain information for as long as your account is active or as needed to provide the Service. We also maintain data to comply with legal obligations, resolve disputes, and enforce agreements.

We implement administrative, technical, and physical safeguards to protect data. No security measures are perfect, and we cannot guarantee absolute security.

Resident & HOA Member Data

Administrators are responsible for ensuring appropriate consent and lawful basis for uploading resident or homeowner information. If you believe your personal information has been uploaded without consent, contact us so we can assist the HOA administrator.

Your Choices & Rights

Depending on your location, you may have rights to access, correct, delete, or restrict certain personal information. Submit requests to support@porchq.com and we will coordinate with the HOA administrator when needed.

You can opt out of non-essential communications by following unsubscribe links or updating preferences. Transactional or service-related messages will continue as long as your account is active.

Children’s Privacy

PorchQ is not directed to individuals under 16. We do not knowingly collect personal information from children. If we learn that information from a child has been provided without consent, we will take steps to delete it.

International Data Transfers

The Service is operated in the United States. If you access PorchQ from outside the U.S., you consent to the transfer and processing of your information in the U.S. and other jurisdictions where we or our providers operate.
