PorchQ in practice

What firms do with PorchQ.

Five workflows you can run today — an answer with its sources, a FAQ draft, an announcement draft, a minutes summary, and getting a community set up. No fictional companies, no fabricated quotes; each one is something the product does now.

  1. Answers with sources

"Can I put a cover over my patio?"

    Resident

A resident asks in the resident portal. The assistant reads the documents the board has made visible to residents and writes an answer. The answer ends with the titles of the documents it used, so the resident, and later the board, can check it.

    • Asked in the resident portal, in plain words
    • The assistant reads only documents the board has made visible to residents
    • The answer ends with the titles of the documents it used
    • An uncertain answer is marked as one, with an offer to email the manager
  2. Community FAQ

The same question three times becomes a FAQ draft.

    Community Association Manager

Overnight, PorchQ looks at the questions asked in the assistant. When one has been asked three or more times in 30 days, it drafts a Community FAQ entry answered from the community's documents. The manager reads the draft in the morning, edits it and publishes it, or throws it away.

    • Runs overnight on questions asked in the assistant
    • Three or more askings in 30 days makes a draft
    • No more than five drafts for a community each night
    • Nothing is published until a person approves it
  3. Announcements

An announcement drafted in a sentence, published by a person.

    Board member or manager

A manager asks the assistant to create an announcement about the pool closing for resurfacing. PorchQ saves an unpublished draft. The manager opens it in Announcements, fixes the dates, and publishes. Only then are notifications queued.

    • Asked for in the assistant, in plain words
    • Saved as a draft, marked Draft in Announcements
    • A person edits it and chooses Publish
    • Notifications go out only after publishing
  4. Minutes to summary

Minutes pasted in. Decisions and action items out.

    Board member

After the meeting, a board member pastes the minutes into the assistant, or attaches them. The reply lists what was decided and what needs doing. It is an answer in the conversation: nothing is filed and no document is changed. A person reads it against the minutes before sharing it.

    • Paste the text or attach the document
    • A written reply with decisions and action items
    • No document is changed and nothing is sent
    • A person checks it against the minutes
  5. Getting started

First three communities, set up alongside your team.

    Concierge cohort, week one

For each community, the governing documents go into Documents & Forms and each one is processed for AI. Then the team asks the questions homeowners ask most and reads the answers against the documents. The PorchQ team does this with pilot CAMs for the first three communities.

    • Documents uploaded community by community
    • Each document processed for AI, one at a time
    • Real questions asked and the answers checked
    • Slack channel direct to the team for the duration of the pilot
