For Community Association Managers

The answer is in the documents. Ask them.

PorchQ answers questions from each community's own CC&Rs, bylaws, rules and policies, and lists the documents each answer came from — without replacing CINC, Vantaca, Enumerate, or the management company's existing system.

How it works

From upload to answer in four steps.

Most of the questions a CAM gets are already answered somewhere in the community's own documents. PorchQ writes an answer from those documents and shows which ones it used. A person decides what goes out.

  1. Upload the documents

Add a community's CC&Rs, bylaws, rules and policies to Documents & Forms, then choose Process for AI on each one.

  2. Ask in plain words

A manager or board member asks in the web app, a resident in the resident portal. The assistant answers one community at a time.

  3. Check the sources

An answer drawn from the documents ends with the titles of the documents it used. If the documents don't cover the question, it is built to say so.

  4. Approve what goes out

PorchQ drafts announcements, messages in Communications and Community FAQ entries. A person on your team approves, sends or publishes.

What you get back

The answer, and where it came from.

Here is the shape of what comes back for one community: an answer with the titles of the documents behind it, a summary of pasted minutes, and drafts that wait for a person.

Question

Can an owner keep a dog off leash in the common areas?

Answer

No. Dogs must be on a leash in every common area, and owners must clean up after them. Each home may keep up to two dogs.

The CAM cohort

We're working with a hand-picked group of CAMs.

CAM firms can create their full portfolio for free, then add a dollar balance when they are ready to run metered workflows. If your managers answer the same questions about the rules every week, talk to us.

FAQ

Questions CAMs ask before signing up.

How does this work alongside CINC / Vantaca / Enumerate?
PorchQ runs beside the system you already use, and that system stays in place. Bring in homeowners, dues history and violations from a CSV export, whether it comes from CINC, Vantaca, Enumerate, AppFolio, Buildium, PayHOA or another system. Upload the file, or have PorchQ fetch it over SFTP on a schedule. PorchQ reads the file and writes nothing back.
How accurate are the answers?
It can be wrong, so every answer is built to be checked. An answer drawn from a community's documents ends with the titles of the documents it used. An uncertain answer is marked as one, and if it keeps coming up short it offers to email the manager. Treat an answer as the start of your own review.
Which documents can it answer from?
The ones each community has uploaded to Documents & Forms and processed for AI: CC&Rs, bylaws, rules, policies, and any minutes you add as documents. Documents are processed one at a time, and the assistant answers one community at a time, from that community's documents.
What do residents see?
Residents ask in the resident portal. When it answers them, the assistant can read only the documents the board has made visible to residents, and a resident cannot make the assistant change anything.
How should we handle legal review?
Treat every answer and draft as a starting point that your management company's standard review process picks up — exactly the workflow your CAMs already follow before anything ships to the board or homeowners. Your firm's review remains the source of truth on legal and compliance.
Does it send anything to residents on its own?
No. It drafts announcements, messages in Communications and Community FAQ entries, and a person on your team approves, sends or publishes. One thing it does directly: when a board member or manager asks it to add or change a calendar event, it does so right away.
How is data handled?
Access is by role and by community: people see only the communities they have been given access to, and what their role in each allows. For how PorchQ collects, uses and protects information, read the Privacy Policy.
What does onboarding look like?
CAM firms can create the portfolio without a subscription or card. Add funds when you are ready to run metered services, with onboarding for the first communities and workflows tuned to the firm's review standards.
