AI Assistant

Ask your documents. Get the answer and where it came from.

PorchQ answers questions from your community's own governing documents and shows which documents it used. Board members and managers ask in the web app, residents in the resident portal, and it is in the PorchQ app for iPhone and iPad.

Answers with sources

See the answer, and its sources.

Ask in plain words. The assistant reads the documents your community has uploaded and processed for AI, such as CC&Rs, bylaws, rules and policies, and writes an answer. An answer drawn from those documents ends with a list of their titles, so a person can check it.

Example

Question

What do our CC&Rs say about short-term rentals?

Answer

Rentals shorter than 30 days are limited to two per calendar year for each unit, and the owner must tell the board in writing first.

Your documents first

Questions about your rules are answered from what your community has uploaded and processed: CC&Rs, bylaws, rules, policies, and any minutes you add as documents. When they don't cover a question, it is built to say so and may add general guidance.

Residents see what the board shares

When a resident asks, the assistant can read only the documents the board has made visible to residents.

It tells you when it isn't sure

An uncertain answer is marked as one. If it keeps coming up short, it offers to email your manager.

Drafts, not sends

PorchQ drafts. Your team approves.

For board members and managers. The assistant prepares the words. A person on your team reads them, changes what needs changing and decides what goes out.

Announcements

Ask the assistant to create an announcement and it saves an unpublished draft. A person publishes it from Announcements.

Messages in Communications

In a Communications thread between residents and management, it drafts a new message or a reply. The text lands in the composer; a person edits and sends.

Community FAQ entries

Overnight, it drafts an entry for any question asked three or more times in 30 days, answered from your documents. A person approves and publishes.

Minutes to summary

Paste your minutes. Get the decisions and action items.

Paste the minutes of a board meeting into the assistant, or attach them. It answers with what was decided and what needs doing. It is an answer in the conversation: no document is changed.

  1. Paste or attach the minutes

In the assistant, paste the text of the minutes or attach the document.

  2. Get the summary

The assistant replies with the decisions and the action items it found.

  3. Check it and use it

A person reads the summary against the minutes before sharing it.

FAQ

Before you ask it your first question.

Where do the answers come from?
From the documents your community has uploaded to PorchQ and processed for AI, such as CC&Rs, bylaws, rules and policies. An answer drawn from them ends with the titles of the documents it used, so a person can check it. If your documents don't cover a question, it is built to say so and may add general guidance.
Can it be wrong?
Yes. It is an assistant, not a lawyer and not your board. An answer from your documents lists them so you can check, an uncertain answer is marked as one, and if it keeps coming up short it offers to email your manager. Treat an answer as the start of your own review.
What can residents see?
Residents ask in the resident portal. When it answers them, the assistant can read only the documents the board has made visible to residents, and a resident cannot make the assistant change anything.
Does it send anything to residents on its own?
No. It drafts announcements, messages in Communications and Community FAQ entries, and a person on your team approves, sends or publishes. One thing it does directly: when a board member or manager asks it to add or change a calendar event, it does so right away.
What do we need to get started?
Your governing documents. Upload them to Documents & Forms and choose Process for AI on each one; after that the assistant can answer from them. For a meeting summary, paste or attach the minutes.
Where can we use it?
In PorchQ on the web, where board members and managers ask in the app and residents in the resident portal, and in the PorchQ app for iPhone and iPad.
